The Cloud Storage Challenge in K-12 Schools
A typical K-12 district might have thousands of Google Drive accounts for students and hundreds more for staff, all managed separately with no cross-provider backup. When a staff member leaves mid-year, their OneDrive data may simply disappear when the account is deactivated. When students graduate, Google Drive accounts close without any archive of their coursework or creative projects.
Add in local curriculum resources stored on a NAS, and you have a three-way storage problem: Drive, OneDrive, and NAS — all needing to be reconciled by an IT team that rarely has spare hours. RcloneView's dual-panel file explorer lets staff browse all connected providers simultaneously and copy between them with a right-click or drag-and-drop.
Adding a Google Workspace account takes seconds — select Google Drive from the provider list in Remote tab > New Remote, and authenticate via browser OAuth. OneDrive for Education follows the same pattern. Both then appear as browsable remotes in the Explorer panels.
Backing Up Student and Staff Cloud Accounts
For systematic backup, create dedicated Sync jobs in RcloneView:
- Source: A staff member's OneDrive folder or a shared Google Drive
- Destination: A school-managed Backblaze B2 bucket, Amazon S3 folder, or NAS share
Use RcloneView's built-in filter settings to exclude personal folders, large media files, or document types outside school policy. The filter builder supports file-extension exclusion (e.g., .mp4, .iso) and max-age limits, keeping backup jobs focused on curriculum and administrative documents rather than personal downloads.
With a PLUS license, schedule these jobs to run nightly during off-hours. RcloneView produces a full audit trail in Job History without any manual intervention — useful for demonstrating that backup procedures were followed consistently throughout the school year.
Year-End Data Archiving and Account Migrations
At the end of each school year, graduating students' Google Drive accounts need archiving before deactivation. RcloneView handles this as a Copy job:
- Set the source to the student's Google Drive folder
- Set the destination to a cold-storage bucket (Backblaze B2 or Amazon S3) under a folder named for the graduating class
- Run the job and review the result in Job History before deactivating the account
For incoming students, RcloneView's 1:N sync can push onboarding template folders from a master source to multiple destination accounts simultaneously — a meaningful time-saver compared to copying each folder by hand.
Job History shows each transfer's start time, duration, file count, total size, and final status. Filtering by date range lets IT staff pull records for any given month or semester — useful when administrators need evidence of data retention compliance.
