The Cloud Storage Challenge in K-12 Schools

A typical K-12 district might have thousands of Google Drive accounts for students and hundreds more for staff, all managed separately with no cross-provider backup. When a staff member leaves mid-year, their OneDrive data may simply disappear when the account is deactivated. When students graduate, Google Drive accounts close without any archive of their coursework or creative projects.

Add in local curriculum resources stored on a NAS, and you have a three-way storage problem: Drive, OneDrive, and NAS — all needing to be reconciled by an IT team that rarely has spare hours.   • Source: A staff member's OneDrive folder or a shared Google Drive
  • Destination: A school-managed Backblaze B2 bucket, Amazon S3 folder, or NAS share

Use RcloneView's built-in filter settings to exclude personal folders, large media files, or document types outside school policy. The filter builder supports file-extension exclusion (e.g., .mp4, .iso) and max-age limits, keeping backup jobs focused on curriculum and administrative documents rather than personal downloads.

Year-End Data Archiving and Account Migrations

At the end of each school year, graduating students' Google Drive accounts need archiving before deactivation. RcloneView handles this as a Copy job:

  1. Set the source to the student's Google Drive folder
  2. Set the destination to a cold-storage bucket (Backblaze B2 or Amazon S3) under a folder named for the graduating class
  3. Run the job and review the result in Job History before deactivating the account
